Information for New Faculty

Welcome to the College of Charleston.

Before my first day, what do I need to do?

For all new faculty, please complete the following:

  1. New Faculty Checklist - Complete all items on the New Faculty Checklist. It is important to complete your background check asap, and plan to complete your E-Verification in person as instructed by the deadlines outlined.
  2. Faculty Credentials - Submit your academic credentials (e.g., official transcript and CV) to your department chair or program director before you begin.
  3. Faculty Orientation - Register for Spring or Fall orientation and review the agenda.
  4. Faculty On-boarding - Stay in touch with your chair/director for departmental (or school level) on-boarding, including instructions on how to access to your class rosters online. Before you are given an email and access to your classes on OAKS, please note that all faculty must submit the required on-boarding forms and credentials. The sooner these are submitted, the sooner access to your classes may be granted.   5. Setup MyCharleston - Log into MyCharleston after you receive your username and temporary password from your department/program. 
  6. Setup OAKS - View your course assignments and class rosters on OAKS. Prepare for the first day of class.

For international faculty, please also review our International Faculty page. If you are not currently eligible to work in the U.S. or need assistance transferring your eligibility to the College, please contact the Center for International Education and your department chair to discuss the College's requirements as soon as possible.

For affiliate (courtesy appointed) faculty member, please ask your department/program about the onboarding requirements as they may vary depending on your affiliation with the College and/or teaching and advising responsibilities. You are required to submit the Affiliate Faculty Personal Data Sheet and Background Check form, plus your official transcript(s) and CV if you are teaching. You do not need to complete the e-Verification process or report to HR with the other employee forms unless directed to do so. 

When do I get access to my classes and the College's online services?

As noted on the New Faculty Checklist, all applicable forms must be completed in Human Resources and academic credentials including your official transcript(s) must be submitted to Academic Affairs before the College enables your online account and provides you access to faculty information on MyCharleston, including your class rosters and access to OAKS, our learning management system. If you have completed these steps and do not have a Cougars username and CWID number, please contact your department for assistance or go to Locate My CWID. Upon appointment, an automated email is also sent to your supervisor with your ID number and instructions on how to log in. If you have already set up your new Cougars account and CWID and still do not have an "Faculty" tab and access to "OAKS" on MyCharleston, please contact your department/program. They will communicate with us to ensure access can be granted.


Explore MyCharleston, your secure gateway to the College's online services, including:

  • Faculty tab: You can find your teaching schedule and rosters, a grade submission channel, the Student Athlete Management System, Faculty Assisting Students in Trouble (FAST), Registrar's Office forms, many quick links for faculty, including our Faculty Administration Manual and Faculty Research and Development grant information, and links associated with faculty governance.
  • Library tab: On the Library tab, you'll find a catalog search tool, databases and e-journals, quick links and faculty links.
  • Employee tab: Reference Banner Self Service, employee forms, and other useful employee information.
  • My Accounts tab: Here you will find a channel named My Parking Services and a link to our Cougar Alert System.
  • Help and Training tab: Here you will find tutorials for faculty, contact information for the IT help desk, and a form for proposing new channels for MyCharleston.
  • Advising tab: Explore the Advising tab (roster faculty only) for advising and Degree Works.
  • OAKS - Course Assignments and Class Rosters: Each department/program is responsible for assigning facutly to his or her course(s). Course assignments can only be made AFTER all forms have been processed by Human Resources and AFTER your credentials (i.e., official transcript(s)) have been submitted to Academic Affairs. If you have not been assigned to a course in OAKS or do not see the "Faculty" tab on your MyCharleston account, please check with your department/program to ensure all of your forms and credentials have been completed.
