Faculty Instructors of Record

Academic program directors (department chairs or program directors) are responsible for ensuring that at least one Instructor of Record (IR) is assigned to each credit-bearing course section in their departments and/or programs by the start date of the academic term and that all individuals contributing to instruction for each course (whether an Instructor of Record or Non-Instructor of Record) are listed on each credit-bearing course section. Each academic unit has the responsibility to ensure that instructor of record faculty credentials satisfy the SACSCOC Standards for Faculty Credentials. Please see the Instructor of Record and Faculty Credentials Policy for details about the requirements.

Instructions: For each instructor of record teaching in your program, please ensure that a credentials packet is on file at the College of Charleston using the guidelines provided below.


Step 1: Before You Begin

» For prospective faculty: Please request that an official transcript be sent directly from the granting institution to the academic program director (department chair or program director) at the College of Charleston. Also, please request a current copy of the CV and any other supporting documentation needed to complete the certification of credentials. Please download the Credentials Form and follow the steps provided on the form and summarized below.  

» For existing faculty who will be teaching a new discipline and/or new course level: Please review your faculty member's credentials file saved on our secure server (request access to credential files) and complete a new Credentials Form for the new discipline or course level. Also, please ask the faculty member for a current copy of the CV and any other supporting documentation needed to complete the certification of credentials.


Step 2: Review the Qualifications

Each academic unit has the responsibility to ensure that instructor of record faculty credentials satisfy the SACSCOC Standards for Faculty Credentials as outlined in the Instructor of Record and Faculty Credentials Policy ("Credentials Policy"). The minimum standards are summarized below and on the Credentials Instructions and Form. Please complete the form as directed. 

 Credentials for Undergraduate Teaching:

  • Earned doctorate or other terminal degree in the teaching discipline or a closely related discipline; OR
  • Master’s degree in the teaching discipline; OR
  • Master’s degree or higher with a concentration in the teaching discipline, including a minimum of 18 graduate hours in the teaching discipline; OR 
  • In the absence of a completed master’s degree, a concentration may be established through official documentation confirming that (1) as part of the instructor’s doctoral or terminal degree program, the equivalent of a master’s degree was achieved, and (2) at least 18 graduate hours in the teaching or a related discipline have been successfully completed. (For credentials earned outside of the U.S., the U.S. equivalent of these minimum qualifications must be submitted.) 

EXCEPTIONS: Exceptions to the standards outline above may be granted if there is evidence of strong alternate qualifications documented on a Statement of Alternative Qualifications, as instructed in Section 6 of the Credentials Form, per the Credentials Policy

 Credentials for Graduate Teaching

  • Earned doctorate or terminal degree in the teaching discipline or a closely related discipline. (For credentials earned outside of the U.S., the U.S. equivalent of these minimum qualifications must be submitted.) 

EXCEPTIONS: Exceptions to the standards outline above may be granted if there is evidence of strong alternate qualifications documented on a Statement of Alternative Qualifications, as instructed in Section 6 of the Credentials Form, per the Credentials Policy.


Step 3: Assemble & Submit the Credentials Packet

Please obtain signatures from the academic program director and dean before submitting the credentials packet to the Office of the Provost. If required, the Office of the Provost will obtain an approval signature from the SACSCOC liaison. 

Required Documents*:

  • Credentials Form (required)
  • Curriculum Vitae (required)
  • Official transcript(s) (required)

NOTE: Official transcript(s) of the highest degree earned and/or other pertinent degrees for credentialing the faculty member in the teaching discipline(s) are required. The CofC recipient must sign and date on the transcript upon receipt to indicate that the document was received directly from the granting institution via mail, a secured electronic delivery system, or a sealed envelope from the prospective faculty member. (For foreign transcripts, submit official U.S. Equivalency Evaluation. See Faculty Credentials for Non-U.S. Degrees for details.)

Additional Documents:

Include only if directed on the credentials form. In order to be degree-qualified and not require additional document, the faculty member's degree must be included on the department/program's credentials memo. They must possess the degree discipline (e.g., History, Biology) and degree level (e.g., Ph.D., MFA, MS) required per the program's memo for the CofC teaching discipline (e.g., HIST, MATH) and CofC course level (i.e., U, G) that will be taught). If the faculty member's degree qualifications do not meet these standards, please include additional documentation as directed on the credentials form and noted below.

  • If Section 5 of the credentials form is completed, submit an additional copy of the transcript(s) and highlight the graduate course titles and hours, then write the total graduate semester credit hours, sign, and date. 18 or more hours in the teaching discipline or equivalent discipline are required for undergraduate level teaching. If course titles are truncated or illegible, please write them out or include a typed list. Also, write out the title of the dissertation/thesis if applicable to the teaching discipline. 
  • If Section 6 of the credentials form is completed, submit a Statement of Alternative Qualifications. You are encouraged to use the template provided and to save the Word document for to assist with future updates and in creating or editing the abstract for Banner. Also, submit all necessary supporting documentation mentioned in the statement, including copies of licenses, certifications, etc.

NOTE: For faculty serving as a Non-Instructor of Record, a supervising Instructor of Record should be assigned, and credentials documentation for both the Non-Instructor and Instructor of Record are required. Please contact the Office of the Provost about credentialing these exceptional cases. 

* During our remote work period emailed credentials packets from the dean's offices are encouraged and accepted. When we return to work on campus, please we ask that you do not email the Provost Office credentials packets. Please print the completed packet and submit it to the dean's office. Please hold the packet if you are still waiting for a document (ex: waiting for the ABD letter from a dissertation chair, waiting for an official e-transcript, waiting for the final version of a Statement of Alternative Qualification to be drafted, etc).  If additional or revised documentation is requested after submission, please resubmit the hard copies. Final, approved credential files are stored both digitally and physically, and hard copies are required (including a printed version of any e-transcripts).
